Participation & Registration
■ I agree to participate as a vendor and understand that vendor participation requires completion of registration and payment (if applicable).

What the Festival Provides
■ Assigned vendor space (10’ x 10’, unless otherwise specified)
■ City-permitted event infrastructure and on-site coordination
■ Inclusion in event marketing and on-site wayfinding, as applicable
What the Vendor Provides
■ All products, equipment, staffing, setup, and breakdown
■ All required permits, licenses, and approvals (including health permits, if applicable)
■ Booth cleanliness and proper waste disposal
Power, Utilities & Equipment
■ Electrical power and utilities are not guaranteed unless approved in advance
■ Generators are not permitted without prior written approval
■ Vendor is responsible for all equipment and related safety
Operations, Timing & Conduct
■ Vendor agrees to assigned load-in, operation, and breakdown times
■ Vendor must remain operational for the duration of the Festival unless approved
■ Booth sharing or subleasing is not permitted without written approval
■ All products and interactions must be youth- and family-appropriate
Sampling, Sales & Restricted Items
■ Product sales and/or sampling must be pre-approved
■ Alcohol sales or sampling are prohibited unless expressly approved in writing
■ No prohibited or unsafe items may be distributed
Insurance, Liability & Indemnification
■ Provide a Certificate of Insurance (COI) naming the City of Miami Beach as Additional Insured
■ Vendor assumes responsibility for staff, volunteers, products, and equipment
■ Vendor agrees to indemnify and hold harmless the Festival, Host Committee, and City of Miami Beach
Branding & Media Permission
■ Vendor grants permission to use business name and logo in Festival marketing and signage
■ Vendor grants permission for event photography/video of booth for promotional use
Event Changes & Independent Status
■ Festival may modify, delay, or cancel due to weather or safety concerns; fees are non-refundable
■ Participation is as an independent vendor, not an employee or agent of the Festival or City
Vendor Fees, Pricing & Add-Ons
Vendor acknowledges and agrees to the following participation fees and optional add-ons for the Youth Sports & Wellness Festival:
Vendor agrees to select and pay one of the following options:
Premium Vendor – $1,500 Includes one (1) 20’ x 20’ booth space located on a high-traffic main pathway.
Standard Vendor – $750 Includes one (1) 10’ x 10’ booth space with table and tent.
Food Truck – $1,500 Includes one (1) designated parking bay in a high-traffic area. Food and beverage sales are permitted subject to approval and applicable permits.
Local Small Business – $350 Includes one (1) table. No tent provided.
Non-Profit Organization – $250Includes one (1) 10’ x 10’ booth space. Discounted or complimentary placement may be granted at the Festival’s discretion based on mission alignment and availability.
Vendor may elect to purchase the following promotional opportunities, subject to availability and approval:
Promotional items included in Festival Welcome Gift Bags – $500
Placement in Official Event Brochure – $350
Social Media Post – $150
Live Social Media Story During Event – $100
Email Marketing Feature – $200
One (1) Branded Social Media Reel – $500
Additional custom promotional opportunities may be available upon request.
Commission on Sales
Where applicable, Vendor agrees to donate ten percent (10%) of gross on-site sales generated during the Festival to the Youth Sports & Wellness Festival as a community contribution.
Payment Terms
All vendor fees and selected add-ons must be paid in full prior to participation.
Vendor participation is not confirmed until payment is received and approved.
All fees are non-refundable, including in the event of Festival modification, delay, or cancellation due to weather, safety, or circumstances beyond the Festival’s control.
